We’re excited to introduce the highly requested File Attachments feature! Now, users can attach files directly to a delivery, streamlining communication and ensuring all necessary documents and media are in one place.
How It Works:

- Attaching Files: When viewing a delivery, simply select the "Files" option from the menu below the dealership's logo.
- Attaching to Notes: While typing a note, you can also attach files! Click the paperclip icon after starting your message to add any relevant files.

New Task Feature: Notify on Change
Introducing Notify on Change – a powerful new configuration option within task management. By default, Delivery Hub mutes notifications on changes to task checklists, but now, with this toggle enabled, you can receive updates for every change, including modifications in the text field beside each task.
How It Works:
- Enabling Notifications: Within task settings, turn on the Notify on Change toggle to activate notifications for any updates made to a specific task.
- Targeted Notifications with Watchlist Integration: Pairing this feature with the Watchlist allows you to control who receives updates and exactly when, making communication precise and proactive.
Use Cases:
- Etch Number Provided: When an Etch Number is added, team members receive an immediate update, ensuring that registration can proceed without delay.
- Licensing Completion: Automatically notify the relevant team members as soon as licensing tasks are completed, streamlining the final steps in the delivery process.
With Notify on Change, stay informed on task progress and ensure team members are updated in real time where it matters most.

2nd Salesperson
We’re excited to roll out the 2nd Salesperson option for split deals, now available under General Settings. This feature allows you to add a second salesperson to a deal, making it easier to recognize and manage split deals. Additionally, the Delivering Representative role remains available for added clarity on who is responsible for delivery.
How It Works:
- Enabling Split Deals: This will be on by default but can be disabled under your dealership's General Settings.
- Seamless Coordination: With this feature, you’ll have clear visibility on all personnel involved in a deal, ensuring both salespeople are recognized and included in delivery communications.
Use Cases:
- Collaborative Sales Deals: Perfect for cases where two salespeople have contributed to the sale, ensuring each person involved stays informed throughout the delivery process.

Optional Field: In-Service Date
Introducing the In-Service Date optional field, now available under the dealership’s General Settings. This field provides a designated place to capture the In-Service date of the vehicle being delivered, allowing for precise record-keeping and enhanced delivery tracking.
How It Works:
- Enabling the Field: Within General Settings, toggle on the In-Service Date option to add this field to your delivery records.
- Accurate Record-Keeping: The In-Service Date field ensures a reliable way to document when each vehicle officially enters service, supporting warranty tracking and post-sale services, without the need to access other systems.

Mobile & Table Updates
We’ve made significant updates to improve the experience of using Delivery Hub on mobile and tablet devices! With reworked button and table sizing, this enhancement ensures a smoother, more intuitive view across all devices.
What’s New:
- Optimized Sizing: Buttons and tables have been resized for easier navigation and readability on smaller screens, making the Delivery Hub more user-friendly on mobile and tablet browsers.
- Accountability on the Go: One of Dealer by Design’s core principles is accountability. Now, the History function is fully viewable on any device, so you can access detailed records wherever you are.
Use Cases:
- In-the-Field Access: Sales and delivery teams can seamlessly check updates and task statuses on mobile devices without sacrificing functionality.
- Instant History Access: Managers can review activity logs from any device, allowing for quick accountability checks even when away from a desktop.

Property-Based Tasks
We’re excited to introduce Delivery Property-Based Tasks – a new task type that adapts based on key delivery properties. Currently enabled for Condition and Finance Type, this feature allows specific tasks to be automatically added based on selections like New vs. Used vehicle condition or Lease vs. Finance delivery type.
How It Works:
- Dynamic Task Assignment: When scheduling a delivery, selecting a condition (New or Used) or finance type (Lease or Finance) will automatically add related tasks to your checklist.
- Enhanced Customization: Customize workflows by creating tasks specific to each property type, ensuring that teams handle each delivery type with the right steps and attention.
Use Cases:
- Condition-Based Tasks: When a Used vehicle is selected, tasks such as “Safety” or “Used clean” can be auto-added to ensure thorough preparation.
- Finance Type-Based Tasks: For deliveries marked as Lease, specific finance-related tasks can be added to facilitate smooth processing and compliance.

New Status Colour
We’ve expanded our status tracking with the introduction of 'Pending 2', a new color status option. This update allows for more nuanced tracking of vehicle progress with an enhanced color sequence: orange -> yellow -> purple -> green -> grey. The additional status step gives teams greater clarity in managing processes, ensuring nothing is missed along the way.
How It Works:
- The new 'Pending 2' status will automatically be available within your task (static tasks) and forms (dynamic tasks) settings. When tasks associated with the Pending 2 stage are all marked as complete, it will display as purple in the status bar.
- You can easily update or customize the status flow from the task and form settings, giving your team a clearer roadmap from start to finish. If you require settings assistance, book some training time!

3rd Row for the dashboard card
Our new optional '3rd Row' feature enhances visibility by adding a row to the dashboard card. This additional row displays crucial vehicle information, such as the year, make, and color, helping users quickly identify key details without extra clicks. Designed to streamline processes, this feature improves organization and allows for faster reference during decision-making or follow-up actions.
How It Works:
- To enable the 3rd Row, simply toggle the option within your settings. Once activated, a new row will automatically appear on each vehicle's dashboard card, featuring the vehicle's year, make, and color. This feature can be enabled or disabled depending on your dealership's workflow preferences.

Funding Tracker
Introducing the Funding Trackers, which allows you to track the task status by utilizing the colouring of the L, C, or F icon.
How It Works:
- Accessing Funding Tracker: Within General Settings, you will want to toggle 'Enable Deal Funding'
- Dashboard Representation: When enabled, the funding type icon (L,C or F) will be coloured based on the deal funding status dropdown.
- Grey = Not Funded
- Red = Issues
Black = Complete
- Dropdown Selector: Available within the deal jacket overview, beside the Delivery status dropdown.

New Form Feature: Required
Introducing the new form item property, Required, now available in Settings -> Forms. This feature allows you to require certain sub-fields to be completed if the top-level item checkbox is selected.
How It Works:
- Accessing the Feature: Navigate to the forms management section in your settings.
- Setting as Required: Select edit on the sub-item you wish to require. Set 'Required' as 'Yes' and save.
This feature is helpful for many reasons, such as requiring a part number or selecting a product type. While History creates accountability, this ensures forms are completed as needed.

Auto-Add To Watchlist
Introducing the Auto-Add to Watchlist. This feature is a property of forms management, that automatically allows you to add a user to a delivery's watchlist based on item selection.
How It Works:
- Accessing the Feature: Within the forms management settings, when editing a form item and viewing a dynamic task, you can select and add users to 'Watchlist'.
- Utilizing the Feature: Once you have added users to a form items Watchlist, anytime that form item is selected the automation will take care of the rest. To confirm that they've been added to a delivery, you can confirm by clicking the 'Watchlist' button.

Simple View
Introducing the Simple View, a new user interface option designed to streamline your experience. Users can now choose between Simple and Advanced Views, selecting the one that best fits their needs.
How It Works:
- Accessing the Feature: From the menu in the top right corner, under the dealership's logo, select between Simple and Advanced Views.
- Simple View: This view provides a clean and concise display, showing only the status, name, and time.
- Advanced View: This view offers additional information and statuses for a more detailed overview.
The Simple View is perfect for users who prefer a straightforward and easy-to-read interface, while the Advanced View caters to those who need more comprehensive information at a glance.

Mark as Cancelled
Introducing the 'Mark as Cancelled' feature, a new status option added alongside 'In-stock' and 'Delivered'. This status is specifically for deals that have been scheduled but are now canceled.
How It Works:
- Accessing the Feature: When viewing a digital deal jacket, select 'Mark as Cancelled' from the status options.
- Status Update: Once marked as canceled, the deal will reflect this status, distinguishing it from in-stock and delivered deals.

Watchlist for Notifications
We are excited to introduce the Watchlist for Notifications feature in our software solutions. This powerful new tool allows you to attach any user, beyond the default ones, to a specific delivery for various reasons, ensuring everyone who needs to be informed stays in the loop.
How It Works:
- Accessing the Watchlist: Within a delivery's deal jacket, you will find the Watchlist option beside the option button.
- Adding Users: When clicked, a pop-up window will appear, allowing you to enter the names of users you wish to add to the notification list. This ensures that relevant team members or external parties can stay updated on the delivery status.
- Reviewing Notifications: The pop-up window also provides a clear view of who is currently receiving notifications for that specific delivery, helping you manage communication efficiently.
- Removing Users: To remove someone from the watchlist, simply click the X beside their name.

Setting: Deal Number Requirement
We're pleased to introduce a new setting for admin users that provides greater flexibility when scheduling new deliveries. With this update, admin users can now toggle the "Deal #" field on or off as a required field.
How It Works:
- Access Settings: Navigate to the settings menu.
- Edit Configuration: Select the general configuration option.
- Set Toggle: Adjust the "Disable Deal Number" toggle as needed to make the Deal # field either required or optional.

New Task Property: Staged
We are excited to introduce a new task property called "Staged," available for both static and dynamic tasks. This feature enhances task management by providing more detailed tracking and visual indicators. This adds a third stage for task coloring on the dashboard:
- Black Icon: Task complete.
- Orange Icon: Task started but not yet completed.
- Light Grey Icon: Task not done (or started).
How It Works:
- Setting Up Staged Tasks: Within the settings, you can set the "Staged" property to "Yes" for any task.
- User Interface: When a task is staged, users will see "Start" and "End" buttons instead of a simple checkbox.
This feature is particularly useful for complex tasks like detailing a vehicle, where more in-depth tracking is required. By offering a clear visual indicator of task progress, the "Staged" property helps improve workflow management and ensures better oversight of ongoing tasks.

Staff Directory
Introducing the Staff Directory, a new user table view that offers dealerships a centralized place to store and manage contact details. This feature eliminates the need for separate spreadsheets, streamlining communication within the dealership.
The Staff Directory enhances internal communication by providing a convenient, organized way to store and access employee contact information, tailored to the preferences of each individual.
How It Works:
- Centralized Contact Storage: The Staff Directory provides a single location for storing contact details, making it easy to access and manage employee information.
- Optional Activation: To enable or disable this feature, dealerships can contact our Support team for assistance.
- Privacy Options: If employees prefer not to share their information, they can simply avoid entering it under their user profile. The only required fields when creating a user are name, email, and position. Phone numbers and other contact details are optional.

Digest Notifications
Introducing Digest Notifications, a new option for delivering email updates to users. This feature provides an alternative to instant notifications, allowing dealerships to receive consolidated updates at a frequency of their choosing.
How It Works:
- Enabling Digest Notifications: Navigate to the general settings menu and enable the digest notifications feature for the dealership.
- Setting Frequency: Choose how often you would like to receive the update emails (e.g., daily, weekly).
- Consolidated Updates: Our system will gather all necessary changes during the selected timeframe and send one comprehensive email, instead of sending an email for every individual update as with instant notifications.
- Email Structure: The digest email will group all new scheduled deliveries together, followed by a summary of all updates.
This feature helps reduce email clutter and ensures that you receive all relevant information in a more organized and manageable format.

New Form Feature: Suppress
Introducing the new Suppress Form Notifications feature, designed to give you greater control over your form-related alerts. This feature allows you to suppress notifications for specific forms, streamlining your workflow and focusing on what matters most.
How It Works:

- Suppressing Notifications: Select the form you wish to suppress notifications for and enable the "Suppress Notifications" checkbox. This will prevent any email alerts related to changes for that specific form.
This feature is particularly useful for managing form-related notifications, ensuring that only critical alerts are received, and helping you maintain a clean and organized workflow.

Trade-In View
Introducing the Trade-In View, now available on the delivery dashboard. This feature allows you to switch your dashboard view from outgoing deliveries to incoming trades, providing valuable insights and enhancing workflow.
How It Works:
- Accessing Trade-In View: Click the two arrows in the top right corner of the screen, just below the dealership's logo, to switch to Trade-In View.
- Dashboard Navigation: Similar to the delivery dashboard, you can navigate week to week and click on an entry to view the delivery deal jacket.
This feature is helpful for many reasons, such as a salesperson looking to match a customer to something that might be coming in, or for the wholesale manager to stay informed about the timing of incoming trades.
